Regional Administrator/Office Manager

This is a office based role in Bristol and we will consider part time, full time or job share working arrangements.

About this opportunity…

We are seeking a highly dynamic and motivated individual who is looking to progress a career within an ambitious and evolving environmental consultancy. The role will encompass the smooth running of office management and administration, supporting employees within Environment, Ecology, Landscape, Archaeology, Geophysics, Arb & Heritage departments.

What the role involves…

Staff support

  • Hotel/accommodation and hire car bookings
  • Non-office plant and welfare bookings
  • Timesheet and expenses submission reminders
  • PPE ordering and monitoring
  • Organising staff events, meetings and taking minutes
  • Diary management (staff annual leave, toil reconciliation, etc.)
  • Recruitment admin (new starter induction paperwork, etc.)
  • Manage field staff contact and location information
  • Pool car management and monitoring
  • Keep up-to-date staff training, induction and licensing information and records
  • Complete supplier questionnaires, PQQs and OH&S welfare forms

Financial

  • Raising POs
  • Management of Petty Cash

Facilities

  • Facilities management for Bristol office
  • Facilities management support for Cardiff and Exeter offices
  • Ordering and monitoring of equipment and stationery supplies
  • Fire procedures, security and regulatory compliance (PAT testing)
  • Office H&S monitoring and compliance
  • Source and arrange staff training

General

  • Office filing and archiving
  • Keep up-to-date inventories/records of assets and equipment
  • Provision of tea and coffee to visitors, lunch for meetings, etc.
  • To support the effective running of fieldwork projects

Essential Skills / Experience we would like to see…

  • Ability to prioritise tasks and manage work time efficiently to meet deadlines
  • High attention to detail
  • Proficient in MS packages (Excel, Word, Outlook, etc.)
  • Good communication
